1. Introduction

24Library ("we," "our," or "us") is committed to protecting your privacy. This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use our library management software and related services (the "Service") available at 24library.com and our mobile applications. By using the Service, you consent to the practices described in this policy.

We operate from India and comply with applicable Indian data protection regulations, including the Information Technology (Reasonable Security Practices and Procedures and Sensitive Personal Data or Information) Rules, 2011, and other relevant laws.

2. Information We Collect

We collect information in the following ways:

  • Account and profile information: Name, email address, phone number, organization name, and address when you register or request a demo.
  • Library and business data: Library name, branch details, seat layouts, member lists, attendance records, payment history, and other data you enter into the Service.
  • Payment information: Billing details, payment method information (processed securely by our payment partners); we do not store full card numbers.
  • Usage and technical data: IP address, device type, browser, login times, and how you use the Service (e.g., features used, pages viewed) to improve our product and security.
  • Communications: Records of support requests, feedback, and correspondence with us.

3. Sensitive Personal Data

We may process sensitive personal data such as identity verification documents (e.g., government ID numbers, Aadhaar details, phone numbers, addresses, or other identification information) when provided by libraries or their members. Such information is processed solely for identity verification and library management purposes.

We implement enhanced security measures to protect such data, including restricted access controls, encryption at rest and in transit, and secure cloud storage. Sensitive personal data is never shared with third parties except where required by law or to fulfil the core service functions explicitly authorised by you. We comply with the IT (Sensitive Personal Data or Information) Rules, 2011 in handling such data.

4. How We Use Your Information

We use the information we collect to:

  • Provide, operate, and maintain the Service.
  • Process payments and send payment reminders (e.g., via SMS and WhatsApp) as configured by you.
  • Send service-related notifications, updates, and support messages.
  • Improve the Service, develop new features, and perform analytics.
  • Comply with legal obligations and protect our rights and the security of our users.
  • Send marketing communications only where you have opted in or where permitted by law.

5. Data Storage and Security

We store data on secure cloud infrastructure using industry-standard security practices, including HTTPS encryption, firewalls, intrusion detection, and continuous monitoring systems. Data is encrypted both in transit and at rest. We implement reasonable technical and organizational measures to protect your data against unauthorized access, alteration, disclosure, or destruction.

We do not sell your personal information to third parties under any circumstances.

6. Data Access Controls

Access to user data is strictly limited through role-based access controls. Only authorized 24Library personnel or the library administrators who manage the system can access member data, and only for legitimate operational purposes. All internal access is logged and regularly reviewed. We apply the principle of least privilege โ€” staff are granted only the minimum level of access required to perform their role.

7. Data Ownership

Libraries using 24Library retain full ownership of their member data. 24Library acts only as a data processor on your behalf and does not claim ownership of any customer or member information stored within the system. Upon termination of your account, you may request an export of your data before it is deleted from our systems in accordance with our retention policy.

8. Data Backup and Disaster Recovery

We maintain regular automated backups and disaster recovery procedures to protect customer data from accidental loss, system failure, or security incidents. Our infrastructure is designed for high availability, and backup data is stored in geographically separate, secure locations. In the event of a system failure, we are able to restore data in a timely manner to minimise disruption to your operations.

9. Data Breach Notification

In the unlikely event of a data breach affecting personal information, we will promptly investigate the incident and notify affected library administrators and, where required, the relevant regulatory authorities. We will communicate the nature of the breach, the data involved, and the corrective actions taken, in accordance with applicable laws including the Information Technology Act, 2000 and relevant rules thereunder.

10. Third-Party Services

We may use third-party service providers for hosting, analytics, payment processing, SMS/WhatsApp delivery, and support. These providers have access to data only to perform their functions and are contractually required to protect it. We recommend reviewing their privacy policies where relevant (e.g., payment gateways, communication APIs).

11. Cookies and Similar Technologies

We use cookies and similar technologies to maintain your session, remember preferences, and analyze usage. You can control cookies through your browser settings. Disabling certain cookies may affect the functionality of the Service.

12. Your Rights

Depending on applicable law, you may have the right to:

  • Access and receive a copy of your personal data.
  • Correct or update inaccurate personal data.
  • Request deletion of your personal data, subject to legal and contractual retention requirements.
  • Object to or restrict certain processing of your data.
  • Withdraw consent where processing is based on consent.
  • Lodge a complaint with a supervisory authority.

To exercise these rights or for any privacy-related queries, contact us using the details in Section 16.

13. Data Retention

We retain your information for as long as your account is active or as needed to provide the Service, comply with legal obligations, resolve disputes, and enforce our agreements. After account closure, we may retain anonymized or aggregated data and any data required by law.

14. Changes to This Policy

We may update this Privacy Policy from time to time. We will notify you of material changes by posting the updated policy on this page and updating the "Last updated" date. Continued use of the Service after changes constitutes acceptance of the revised policy. We encourage you to review this page periodically.
